The Office suite is where most people first feel WorkBuddy's value.
This chapter focuses on three common office deliverables: Word documents, Excel spreadsheets, and presentation decks.
The shared workflow across Word, Excel, and PPT
Regardless of document type, start by answering five questions. Many “AI did a poor job” office tasks fail because the delivery standard was not stated clearly, not because the model cannot write.
| Question | What to clarify | Example |
|---|---|---|
| Goal | Whom should the material help, and what decision should it support? | For the department head, to decide whether the project should receive more investment. |
| Audience | Who will read it, and how much context do they have? | Executives need conclusions; the project team needs process and owners. |
| Materials | Which files are sources of truth, and which are references? | data.xlsx is the only data authority; the old PPT is a structural reference. |
| Format | Word, Excel, PPT, or an integrated package? | A project-retrospective Word file, a risk-register Excel sheet, and an eight-page presentation. |
| Acceptance | How can the result be judged usable? | Numbers trace back to source files, formulas refresh, and the deck does not overflow on screen. |
Choose the right Skills: a recommended office combination
SkillHub contains Skills for office productivity, document processing, spreadsheets, presentations, and meeting minutes.
| Skill | Best for | Use in this chapter | Note |
|---|---|---|---|
| Word / DOCX | Word documents | Create, inspect, and edit DOCX files; handle headings, numbering, tables, and revision records | Best for local DOCX files |
| Excel / XLSX | Excel workbooks | Read, clean, and write workbooks; handle formulas, dates, formats, and template preservation | Confirm the data definition first |
| PowerPoint / PPTX | PPT files | Create, edit, and inspect PPTX files; handle layouts, placeholders, notes, charts, and visual QA | Best when an editable PPTX is required |
| Office Document Specialist Suite | Word / Excel / PPT | Process Office files together for automated reports and multi-file tasks | Accept complex tasks in stages |
| WPS | WPS suite | Work with WPS Writer, Spreadsheets, and Presentation | Best for WPS users |
| Tencent Docs | Online collaboration | Create, read, edit, and search Tencent Docs, including online documents, spreadsheets, and slides | Usually requires an API key or authorization |
| kdocs skill | Kingsoft/WPS cloud documents | Process cloud documents, smart documents, spreadsheets, PPT, PDFs, and knowledge bases | Usually requires an API key |
| Markdown Converter | Material parsing | Convert PDFs, Word, PPT, and Excel files to Markdown so the model can understand the structure first | Good for reading, not final layout |
| PPT Generator / PPT Workflow | PPT generation | Generate decks from topics, scripts, or materials | Still requires human review |
| PowerPoint Automation | PPT review and export | Read outlines, export PDF/images, replace text, and unify fonts and themes | Best on Windows with PowerPoint/WPS |
| Excel Formula Generation | Formula questions | Convert natural language into Excel/WPS/Google Sheets formulas and explain safer variants | Validate formulas on sample data |
| Tencent Meeting | Meeting-to-document | Schedule meetings, retrieve transcripts and AI minutes, then create Word minutes, Excel actions, and PPT reports | Requires meeting-platform authorization |
A practical combination is Word / DOCX, Excel / XLSX, and PowerPoint / PPTX for local files; Tencent Docs or kdocs skill for online collaboration; Markdown Converter when many materials need structural extraction; and Tencent Meeting or a meeting-minutes Skill for meeting workflows.
Word: from a blank page to a formal document
The pain points
Word appears to be just writing, but real office work usually has four difficulties: choosing a structure, maintaining a formal tone, keeping headings and numbering consistent, and preserving evidence sources.
For proposals, notices, reports, meeting minutes, policies, applications, and PRDs, asking AI to improvise from a blank page often produces a generic template that looks complete but is difficult to submit directly.
WorkBuddy is best used to turn existing materials into a stable, consistent, editable first draft. It does not replace decisions that the source material does not support.
State the document goal, recipient, tone, and structure together. After generation, give targeted feedback instead of regenerating from scratch each time.
Good Word tasks
- Formal proposals: event, project, marketing, and training plans;
- Management documents: policies, notices, applications, minutes, retrospectives, and weekly or monthly reports;
- Product materials: PRDs, requirements, competitor analysis, and user-interview summaries.
Recommended process
| Step | What WorkBuddy does | What a person confirms |
|---|---|---|
| 1 | Reads materials and lists usable information and gaps | Which files are factual sources and which are references |
| 2 | Generates an outline and writing policy | Who the reader is and whether the document is for reporting, approval, or execution |
| 3 | Generates a Word draft from the outline | Heading levels, section order, and completeness |
| 4 | Polishes, adds, or removes content from feedback | What can be finalized and what must remain “to confirm” |
| 5 | Outputs an editable DOCX and change notes | Whether colleagues can review it directly |
Prompt example: create a team-building plan in Word
Create a Word document outline for a company team-building event.
The company has about 80 people. Include: event goals, theme options, an overall schedule with time points, group and interactive-game suggestions, a budget breakdown, staffing, a risk plan, and notes.
Keep the language concise and practical. Do not make it excessively detailed; clearly list the overall structure and key decisions so it can be used to confirm the event direction with leadership.For a second revision, state the differences instead of rewriting
Modify the previous company team-building Word document. Do not regenerate the whole document.
Requirements:
Compress the event goals into three items, each no longer than 50 Chinese characters;
Turn the schedule into a table with time, segment, main content, owner, and materials;
Add interaction ideas suitable for a company of 100 people and remove options that are too difficult to execute;
Break down the budget into item, estimated amount, quantity, unit price, and notes, and add the total;
Add a risk section covering late arrivals, equipment failure, overlong programs, and unexpected safety issues;
Make the overall language more formal and concise for leadership approval.
Output the revised v2 Word document and list the changes in changelog.md.Excel: turn a spreadsheet into analysis that answers questions
The pain points
Excel problems are usually not about whether someone can make a chart. They are about what question the table should answer.
Many workbooks mix dates, text, empty values, merged cells, multiple definitions, and temporary notes. Asking AI to analyze them directly can produce a polished chart with little business value.
Import the Excel or CSV file first, then state the metrics, chart types, dimensions, time range, and whether a report is required. Define the business question before choosing the chart instead of generating a beautiful chart first.
Good Excel tasks
- Data cleaning: deduplicate, fill missing values, standardize dates, split fields, and merge tables;
- Business analysis: sales, margin, conversion, average order value, renewal, and inventory turnover;
- Report generation: weekly or monthly reports, budget execution, attendance, and project-progress registers;
- Formula assistance: generate or explain complex formulas and troubleshoot
#N/A,#VALUE!, and circular references; - Visualization: bar and line charts, pie charts, pivot tables, dashboards, and anomaly flags.
Recommended process
| Stage | Prompt focus | Output |
|---|---|---|
| Read the workbook | Describe structure, field meanings, sample rows, and dirty data first | Data dictionary and issue list |
| Define metrics | State the business question, not merely “analyze this” | Metric-definition table |
| Clean | State how to handle empty, duplicate, and abnormal values | Cleaned XLSX / CSV |
| Calculate | Generate formulas, pivot tables, or statistics and retain a refreshable structure | Summary table and formula notes |
| Visualize | Choose charts based on the business question and avoid chart accumulation | Charts and findings |
Prompt example: analyze sales data
Read e-commerce-sales-data.xlsx. Do not modify the original file.
Business question: analyze the sales performance and profitability of each product line this month, identify high-contribution and weak-margin lines, and find abnormal fluctuations.
Output:
Explain the fields and check missing values, duplicates, anomalies, and format problems;
For each product line, calculate sales, gross profit, gross margin, sales share, and gross-profit contribution share, then rank them;
Aggregate daily sales and gross margin, and analyze daily changes. Add weekly statistics if the time span and completeness allow;
Create bar charts comparing sales and gross profit by product line, and a line chart showing daily sales;
Identify dates or records with unusually high sales, gross margin, or single-order amount. Describe the anomaly from the data and do not infer a business cause without evidence;
Summarize the strongest product line, the line needing attention, and three conclusions for a business retrospective.
Output output/sales-analysis.xlsx and output/summary.md.
Requirements: preserve the raw data; make formulas and calculations traceable; make chart titles state the main conclusion; label causes that cannot be confirmed as “to verify” and do not invent them.PPT: turn materials into a narrative instead of a template
The pain points
PPT is easy to misuse.
If the task says “make a sophisticated PPT,” AI can only guess the style and may produce attractive empty phrases. A usable deck must answer three questions: who will see it, what decision should they make afterward, and how much time is available.
Provide source materials, slide count, audience, and style preference together. The PPT Skill can generate pages, but the story must be confirmed first. Otherwise visual polish can hide logical problems.
Good PPT tasks
- Project reports: progress, retrospectives, milestones, risks, and resource requests;
- Business reports: monthly operations, sales review, budget execution, and growth review;
- Training decks: onboarding, product, customer, and internal training;
- Solution presentations: customer proposals, bids, business plans, and product launches.
Recommended process
| Step | What WorkBuddy does | What a person confirms |
|---|---|---|
| 1 | Converts Word, Excel, images, and old PPT files into material summaries | Which content must stay and what can be removed |
| 2 | Generates a six-to-ten-page story and slide titles | Audience, duration, and decision goal |
| 3 | Builds the deck from the confirmed outline | Whether each slide has one core point |
| 4 | Adds charts, notes, source mapping, and export versions | Whether key numbers come from Excel |
| 5 | Checks overflow, missing images, font size, and colors | Whether it is readable on a projector and suitable for live delivery |
Prompt example: create a presentation from a material pack
Create a presentation of no more than eight slides about AI Agents from the materials in the current workspace.
Audience: managers with basic AI knowledge who do not understand Agents in business and management.
Duration: 10 minutes.
Goal: help the audience understand what an AI Agent is, how it differs from ordinary AI chat tools, which problems it can solve, and how an enterprise should decide whether to adopt it.
Materials:
AI Terms Panorama Handbook.md is the primary source;
do not add facts or data outside the workspace.
Keep the deck within eight slides, with one core conclusion per slide;
mark the source of every case, data point, and key judgment, and do not add unverified content;
make titles state conclusions directly instead of using generic titles such as “AI Agent introduction” or “Application scenarios”;
output output/ai-agent.pptx;
after generation, check text overflow, whitespace, chart definitions, missing images, font consistency, and page numbers.
Style: professional, concise, and technical without excessive gradients, glows, or decoration; suitable for a formal internal presentation.Integrated case: turn one meeting into a delivery package
Many office workflows need several artifacts after a meeting, not one file.
After a product-review meeting, for example, there may be user feedback, feature decisions, actions, and a next-version plan. The manual process is usually to organize minutes, add a PRD, make an action spreadsheet, and then prepare a presentation.
WorkBuddy can connect those deliverables to one chain of facts.
Pain points
- Discussion is conversational, so decisions, disagreements, and actions are mixed together;
- A PRD needs structure that minutes do not have;
- An Excel action table needs owner, due date, and status fields rather than a paragraph;
- A management deck cannot simply copy the entire meeting transcript.
Useful Skill combination
| Stage | Recommended Skill | Purpose |
|---|---|---|
| Obtain meeting content | Tencent Meeting / meeting-minutes Skill | Retrieve transcript, AI minutes, decisions, and action items |
| Generate PRD | Word / DOCX, Tencent Docs, or kdocs skill | Rewrite meeting content as a product requirements document |
| Generate action table | Excel / XLSX and spreadsheet automation | Output owner, due date, priority, status, and acceptance criteria |
| Generate presentation | PowerPoint / PPTX, PPT Workflow, or PPT Generator | Turn the PRD and progress into a management deck |
Prompt example: meeting to PRD, action table, and presentation
Read the transcript and AI minutes of this product-review meeting and create an office delivery package.
Goal: turn the meeting into materials that can move development forward.
Output:
1. Word: output/feature-prd.docx with background, goals, target users, core problems, requirements, process, acceptance criteria, risks, and questions to confirm;
2. Excel: output/action-items.xlsx with item, owner, priority, due date, dependency, status, and acceptance criteria;
3. PPT: output/review-summary.pptx, no more than six slides for management, highlighting decisions, resource requests, and risks.
Constraints:
- Do not write unconfirmed meeting content as a settled conclusion;
- Preserve source names, dates, and feature scope;
- Mark missing owners or dates as “to confirm”;
- Output the outline and a preview of the action-table fields first, then wait for my confirmation before generating files.Common errors and corrections
| Common error | Why it happens | Better wording |
|---|---|---|
| “Make a sophisticated PPT” | No audience, goal, or material constraints | State audience, duration, slide count, decision goal, reference template, and required data |
| “Analyze this Excel” | No business question, so the model can only summarize generally | State the question, metrics, and comparison dimensions |
| “Write a report” | No document type or tone | State whether it is a proposal, summary, application, minutes, or PRD and name the reader |
| “Complete everything automatically; do not ask me” | Unconfirmed definitions amplify risk | Ask for a material list, risk list, and outline before generation |
| “Combine these materials into one file” | Facts, references, and unconfirmed items are not separated | Name the single source of truth, reference files, and fields that must not be invented |
